ReCap Passes Microsoft testing for Pocket PC Applications

Reston, VA—Tango Enterprises has released a new software product and customizable system designed to capture all job information and transactions in remote locations using wireless, hand-held technology, and a mobile internet connection. The TANGO: ReCap System™ (ReCap System) has been successfully installed and is in operation at multiple eastern seaboard trucking, terminal and warehouse locations served by General Services, Inc. of Virginia (GSI), headquartered in Winchester, Virginia.

Overview of System Capabilities and Benefits

The ReCap System operates on a standard PDA with wireless data transfer capabilities. The ReCap System is designed to allow any organizations with remote service staff to record assignments, pending jobs, labor and materials costs, and completed transactions. ReCap validates completed transactions and can document the condition of delivered goods. The system accounts for cash transactions and billable jobs, records labor activities for remote employees with variable pay, and integrates with other central office systems such as payroll, invoicing and accounts receivable software. The system also captures third party signatures and prints receipts on-site. Furthermore, the system allows remote field data to be validated and instantly uploaded to a centralized database. Cash transactions are immediately recorded and auditable. All paper forms at off-site locations and subsequent re-keying of information at the administrative level are eliminated. Customers and authorized third parties have up to the minute access to field data on a secure website. Billing cycles are shortened due to near real-time data input. Improved accuracy of records, cost savings through paper reduction and reduced administrative labor are the key benefits of the system.

Broad Application Potential

The ReCap System provides tremendous benefits for any organization with mobile staff who currently use paper forms to report back to ther central office or home base. The ReCap System is hardware independent and extremely flexible. It allows for easy software application integration with any Windows Pocket PC based PDA, tablet PCs or laptop PCs featuring wireless internet access. Upload questionnaires, client account information, parts and labor information after each transaction is completed for faster and more efficient administration. Third party users can review completed transactions near real-time. Central office account information can be pushed out to the field staff so that internal account changes are communicated near real-time.
Virtually anyone who needs to collect and report field data to be integrated into an office back-end system, is now able to make this process easier, faster, safer and more accurate with improved back-end administration. These benefits apply to a wide range of services such as home inspections, home services such as pest control or landscape services, plumbing or utility services, surveyors, and real estate agents just to name a few.

Technical Environment

The PDAs used in the GSI application are Samsung SPH-i700 devices, but the system is compatible with any PDA that can support
• Pocket PC 2002 Operating System or greater
• Compact .Net framework
• Internet connection, e.g. WIFI, data service through Verizon or other data carriers
• Optional handheld printer compatible with PDA
The back-end system is scalable from a single PC to a complex enterprise environment. A typical back-end environment is comprised of
• Microsoft 2003 Small Business Server
• SQL Server 2000
• Adequate Internet connection based on the number of users


Case Study of Implementation of ReCap at GSI

GSI provides independent freight loading and unloading services at trucking terminals for a variety of commercial clients including various Giant Food, Inc. locations. This service is based on the industry standard that a truck driver’s job most often does not include loading or unloading of freight whereas warehouse staff often cannot unload the freight due to liability considerations and union regulations. To work around these restrictions, GSI’s president, George Barlow started to staff his regular loading docks with his hired workers. Other freight carriers realized the value of GSI’s services and contracted with GSI for their freight handling at GSI staffed warehouse docks. The enterprise has now grown into a company with over 500 employees and 30 locations dedicated to loading and unloading trucks.

As the company has grown, so has the need for improved business processes. The ReCap System enables accurate and reliable documentation and reporting of transactions at the docks and near real-time recording of all relevant invoice and receipt data. This information is captured via a standard PDA with a built-in wireless phone for data transfer. All captured information is up-loaded to the central office computers as each job is completed. Captured data include items and quantity delivered, date and time of delivery, names of individuals who handled the freight and subsequent cost of loading or unloading. The driver validates the information by signing electronically on the data screen. Receipts for the loading and unloading services with an image of the electronic signature from the driver are printed on site at the time the job is completed. The PDA even includes a camera that can be used for documentation of damaged goods. Digital pictures can be attached to the appropriate transaction, uploaded to the GSI central office and is available for review on the website.

This system eliminates GSI’s paper process which required freight handlers to mail or carry the work records back to the central office where the data was manually entered into the accounting system.
